Your workspace
A workspace groups a studio's websites and sets who can reach them. Switch between workspaces and sites, and see what each role can do.
A workspace holds your studio's websites and draws the line for access: a person is given a workspace and, inside it, the websites they may open. This page explains what you see when you sign in, how to move between workspaces and websites, and what each role is allowed to do.
Before you start #
- You have signed in at least once (see Request access).
- Creating, renaming and deleting workspaces, and managing people, needs the Super admin role. Every other role can only switch between the workspaces and websites it was given.
Find your way around #
The admin has three parts:
- The sidebar, on the left. At the top, the Workspace and Website pickers choose what you are working on. Below them, the areas grouped by job: Home, Site & pages, Design system, Content, Media & brand, Publish & versions, People & access and, for Super admins, Site settings and Platform. You see only the areas your role may open.
- The icon strip at the edge: Home, search, the assistant (when it is switched on), the Interface language, and your account menu with Change password and Sign out.
- The work area, where the page you opened shows.
To jump anywhere by name, open the command palette with ⌘ K on a Mac or Ctrl K elsewhere, and type, for example, "new site" or "languages".
Switch workspace or website #
- In the sidebar, open the Workspace picker and choose a workspace. The admin opens the workspace's first website, or the Create a website form if it has none (Super admins and the workspace's owner).
- Open the Website picker and choose a website. Its Home opens.
The admin remembers the website in the address, so a link you copy opens the same website for anyone allowed to see it.
Create a workspace #
Super admins only.
- In the sidebar, open Platform > Workspaces.
- Choose Add workspace.
- Type the Name. The URL key is filled in from it; change it if you want a shorter one.
- Choose Create.
The workspace starts empty. Add its first website from Platform > Websites (see Your first site) and give people access from Platform > Platform users (see Invite a client).
What each role can do #
The role is set per person in Platform > Platform users. The descriptions are the admin's own.
| Role | What it can do |
|---|---|
| Super admin | Can manage every workspace, website, setting, and person. |
| Content editor | Can edit blogs, articles, and media on selected sites. Content editors also open the site editor and the design system. |
| Content author | Can write and publish text, images and collection items on selected sites, without changing structure or design. This is the role for clients. |
| Read-only viewer | Can review selected sites without making changes. |
| Brand client | Can create approved brand assets for one selected site. |
When a request for access is approved, the person who asked gets the Content editor role and becomes the owner of the new workspace. The owner can also create websites in it and make an earlier version live again on them. Inviting people stays with Super admins.
What you see #
- The Home of a website shows a short description for your role and cards for the areas you can open, with Edit website and View live website.
- Platform > Workspaces lists each workspace with its URL key, its number of Websites and when it was Created.
Pitfalls #
Pitfall: Deleting a workspace deletes every website in it, with their content, versions and media. It cannot be undone. When the workspace holds websites, the delete button stays disabled until you type the workspace's name in Type {name} to confirm.
- The URL key is part of every address. A website's platform address is
<website>--<workspace>.<platform domain>, so changing a workspace's URL key changes the address of all its websites. The old addresses are not redirected: they stop opening the sites, and links and bookmarks to them break. Pick it once. - Nothing to edit after sign-in. You have a workspace but no website assigned. If you own the workspace, the admin says Your workspace {workspace} is ready: choose Create the first website. Otherwise it says No website to edit yet: ask the workspace owner or a Super admin to assign one in Platform users.
- "Access denied." The page you opened belongs to a role you do not have: Access denied. Contact your administrator for permissions.
- Wrong language in the admin. The admin's language is per person: change it under Interface language in the icon strip. It does not change the language of your websites.
