Invite a client

Invite a client by email as a Content author on their website, so they choose their own password and edit content but not design.

Updated

An invite creates the client's account and sends them a link to choose their password. You pick their role and the websites they may open; with the Content author role they can change words, images and collection items, and publish, but not the structure or the design.

Before you start #

  • You need the Super admin role: only it opens Platform > Platform users. Owning a workspace is not enough; the workspace owner asks a Super admin to invite the client.
  • The client's website exists in the workspace (see Your first site).
  • On the platform, outgoing email must be set up for the invite to be emailed. If it is not, the invite cannot be delivered and the admin says so (see Pitfalls).

Send the invite #

  1. In the sidebar, open Platform > Platform users.
  2. Choose Invite a person. A panel opens: They get an email with a link to choose their password. The link works for 7 days.
  3. Type the client's Email. Name is optional; it goes in the email's greeting.
  4. Leave Role on Content author, the role the panel starts with.
  5. Choose the Workspace, then tick the client's website under Websites. You can tick more than one.
  6. Choose Send invitation.

The panel closes and a message confirms Invitation sent to {email}.

What the client receives #

  • An email in the language your admin is in when you send it, with the link.
  • The link opens Choose your password. After Set password and sign in, the client lands on their website's Home: cards for Publish, Pages, Collections, Forms and Media, with the description Write and publish the text, images and items of this website.
  • After every sign-in, a person lands on the first website they were given.

Send the invite again, or withdraw it #

  • Again: repeat the steps with the same email before the client sets a password. The new invite replaces the earlier link, which stops working.
  • Withdraw: delete the person from the list in Platform users. The admin asks Are you sure you want to delete {email}? The list does not show whether a person has accepted the invite: an invited person has a row like everyone else.

Choose a different role #

RoleUse it for
Content authorClients who maintain the site's content.
Read-only viewerSomeone who reviews without changing anything.
Content editorA designer or developer in your studio who builds pages and the design system.
Brand clientSomeone who only creates approved brand assets for one site.
Super adminPlatform administrators. It sees every workspace, so it has no Workspace or Websites fields.

Pitfalls #

Pitfall: An invite to an address that already has an active account is refused: This email already belongs to an active account. To give that person another website, edit their row in Platform users and add it under Site access.

  • No website ticked. Sending without a workspace and at least one website stops with Choose a workspace and at least one website.
  • The email could not be sent. The invite is saved but the email did not leave: The invitation was saved, but its email could not be sent. Try again. Send the invite again once mail works. This message is in English in both languages.
  • The link expired. It works for 7 days. Send the invite again; the client does not need to do anything else.
  • Do not set a password for them. Add person also creates an account, with an optional password you choose. Prefer the invite: the client picks a password only they know.
